Our AI receptionist service records and transcribes phone calls to provide you with complete call logs and insights. Here is how we handle this data:

Consent and Disclosure: All callers are informed at the beginning of each call that they are speaking with an AI assistant and that the call may be recorded. By continuing with the call after this disclosure, callers consent to being recorded. This complies with applicable call recording laws.

What We Collect:

  • Audio recordings of calls handled by our AI receptionist
  • Automated transcripts generated from those recordings
  • AI-generated call summaries highlighting key information
  • Caller information extracted during the call (name, phone number, reason for calling)

How Recordings Are Used:

  • To provide you with a record of calls your business receives
  • To generate transcripts and summaries for your review
  • To improve our AI service quality
  • To capture lead information for your business

Retention Period: Call recordings and transcripts are retained for 90 days from the date of the call. After this period, recordings are automatically deleted. Transcripts and call summaries may be retained longer as part of your account records. You may request earlier deletion at any time (see "Your Rights" below).

Requesting Deletion: To request deletion of specific call recordings or transcripts before the standard retention period ends, contact us at hello@niceagents.com with the date and approximate time of the call(s) you wish to delete. We will process deletion requests within 30 days.

5. Legal Basis for Processing (GDPR)

If you are in the European Economic Area (EEA), we process your personal data based on:

  • Consent: When you subscribe to our newsletter or submit forms
